Marketplace Vendor Verification Terms

These terms set out how sellers ("vendors") are verified on the LopoRail marketplace ("the Marketplace"), what the Verified Seller badge means, and how verification (and selling rights) can be changed or revoked. They apply alongside our website terms of use, marketplace shipping terms, marketplace fee terms and the privacy policy. Questions about verification or your verification data? Contact our Data team.
1. Business verification is required for approval
1.1 Basic business verification is a condition of approval. We confirm the identity of the responsible individual and core business details before a vendor account is approved — full selling rights on the Marketplace begin only once approval is granted on the basis of that confirmation.
1.2 Verification covers:
- (a) identity of the individual responsible for the vendor account (name
and a government-issued identity document);
- (b) business details — legal or trading name, business address, and
company registration number and/or VAT number where the business has them.
1.3 We ask for the minimum needed to confirm the account is genuine and traceable to a real, accountable person or business. We may ask for clarification or additional documents where details are incomplete, inconsistent or indicate elevated risk.
2. Verification must be actioned within 7 days
2.1 Within 7 days of submitting your vendor registration (or of our request for verification) you must complete verification — submitting the requested documents and responding to our requests.
2.2 We review complete submissions within 7 days and confirm the outcome; approval — and full selling rights — follow confirmation. If something is missing we will tell you what is needed; the review clock pauses while we wait for your response.
2.3 If you do not complete verification within the 7-day window, your vendor registration will not be approved and will lapse — you may reapply at any time. Where an account has exceptionally been allowed to sell before verification completes, it stays subject to the cap in section 3 and we may suspend selling rights until verification is complete.
3. Unverified vendor cap — 10 live listings
3.1 Pending verification — and in any period we allow selling before verification completes — a vendor account is limited to a maximum of 10 live listings at any one time. The platform enforces the cap automatically.
3.2 The cap is lifted as soon as verification is confirmed.
3.3 Circumventing the cap — for example by opening duplicate vendor accounts — is a breach of these terms and a ground for revocation under section 5.
4. The "Verified Seller" badge
4.1 The Verified Seller badge shows that a vendor has completed business verification: we have checked the identity of the responsible individual and the business details in section 1, as at the date verification completed.
4.2 The badge does not mean that we endorse a vendor or their items, that items are authentic or of any particular quality, or that a vendor holds any insurance or accreditation. Buyers should still read listings carefully; the badge is one signal among several.
4.3 The badge may be displayed on a vendor's profile and listings while verification remains valid.
5. Revocation of the badge and of selling rights
5.1 We may withdraw the Verified Seller badge, and may suspend, limit or revoke selling rights, where:
- (a) verification information is false, misleading or out of date;
- (b) a material change in business details (ownership, legal status, address)
is not notified to us within 14 days;
- (c) there are serious or repeated breaches of our marketplace policies —
including prohibited items, intellectual-property infringement or failures to meet consumer-law obligations;
- (d) there is a pattern of chargebacks, refusals or unresolved buyer
complaints attributable to the vendor;
- (e) the vendor circumvents verification or the listing cap, transfers or
shares an account, or allows another person to sell through it;
- (f) the account is compromised or used in a way that exposes buyers or
LopoRail to risk; or
- (g) we are legally required to do so.
5.2 For serious breaches (including fraud, counterfeit items or anything endangering buyers) we may act immediately: removing the badge, suspending selling rights and holding payouts pending review. Otherwise we will normally tell you what is wrong and give you a reasonable opportunity to fix it or respond first.
5.3 Where the badge is revoked, pending orders are handled under the marketplace shipping and fee terms. Reinstatement requires successful re-verification and, at our discretion, remediation of the underlying issue.
5.4 You may appeal a revocation decision within 30 days by messaging us via the contact form from your vendor account email. We review appeals within 7 days and confirm the outcome on your vendor account.
6. How we handle verification documents
6.1 What we collect: identity documents and the business details in section 1, plus any clarification you send us.
6.2 Why: to confirm vendor accounts are genuine and accountable, to prevent fraud, to protect buyers and to meet our legal obligations. We rely on performance of these terms, legitimate interests (fraud prevention and trust), and legal obligations where they apply.
6.3 Who sees it: only trained Marketplace Trust & Safety staff, and identity or business-verification providers acting for us under contract. Verification documents are never shown to buyers or other users, and are never used for marketing.
6.4 Retention: verification documents are kept while your vendor account is open and for 12 months after it closes, then deleted — unless a specific law requires us to keep records longer (for example tax or transaction records, which are kept separately under those rules). You may ask for deletion of verification documents sooner where the law allows; see the privacy policy for your rights and our Data team's contact form.
7. Changes
We may update these terms as verification processes evolve; material changes are notified to verified and selling vendors in advance. Continued selling after a change takes effect means you accept the updated terms.
These terms are governed by the same law as our website terms of use, and LopoRail is the rights holder and operator of the Marketplace.
